Event Planner - Fixed Term

About the role
As our Event Planner, you will play a key role in planning and delivering engaging, well-organised events that support Pacific families and communities across Aotearoa. Working closely with service delivery teams and stakeholders, you'll coordinate logistics, communications, health and safety requirements, and event administration to ensure every event is professional, accessible, culturally responsive, and memorable. This is an exciting opportunity to combine your organisational expertise with meaningful community impact in a Pacific-led organisation. This is a 12 month fixed term opportunity
Key Responsibilities:
Coordinate the planning and delivery of events across the organisation.
Manage event logistics, including venues, catering, suppliers, equipment, and transport.
Develop event plans, run sheets, schedules, and supporting documentation.
Support event promotions and communications in collaboration with internal teams.
Ensure health, safety, accessibility, and compliance requirements are met.
Maintain strong relationships with staff, community partners, and external suppliers.
Gather feedback and contribute to continuous improvement of event processes and outcomes.
Coordinate external enquiries and bookings for Vaka Tautua's Auckland facilities.
About You
You are a highly organised and proactive coordinator who thrives on bringing people and events together. You build strong relationships, communicate confidently with a wide range of stakeholders, and have a keen eye for detail. You'll be culturally responsive, solutions-focused, and passionate about creating positive experiences for Pacific communities.
You'll bring:
Experience in event planning, coordination, logistics, or a similar role.
Strong organisational skills and the ability to manage multiple priorities.
Excellent communication and relationship-building skills.
A collaborative approach and willingness to support others to succeed.
Sound problem-solving skills and the ability to stay calm under pressure.
An understanding of health and safety requirements in event environments.
Confidence using Microsoft Office applications, including Outlook, Word, and Excel.
A commitment to Pacific values, cultural responsiveness, and inclusive practice.
A full New Zealand Driver Licence.
